This Privacy Policy explains how AEVUM collects, uses, stores, processes, and discloses personal information in accordance with the Australian Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

AEVUM is a publishing platform for finished works and long-form knowledge sharing. We collect only the information reasonably necessary to operate, secure, improve, and support the service responsibly and reliably.

AEVUM may also provide optional AI-assisted features, including Aevum Assistant (“AA”), to help users review, understand, refine, and work with content they have uploaded or provided to AEVUM.

2.1 Information You Provide Directly

When you create an account or use the service, we may collect:

• Name and email address
• Content you upload or publish, including PDFs, rendered pages, preview images, cover images, thumbnails, titles, descriptions, and metadata
• Viewer-ready or service-generated derivatives created to enable previews, embedded reading experiences, document rendering, analysis, or other service functionality
• Billing and subscription details (processed by third-party providers such as Stripe; payment card details are not stored by us)
• Communications you send to us, including support requests, emails, ratings, comments, and feedback
• Requests or instructions you provide when using AI-assisted features such as Aevum Assistant

Where you choose to use Aevum Assistant or another AI-assisted feature, relevant portions of your content may be processed to provide the requested assistance.

Depending on the capabilities available at the time, this may include processing:

• readable document text;
• text you enter or paste;
• images;
• illustrations;
• graphics;
• diagrams;
• page layouts;
• typography;
• visual composition;
• cover images;
• thumbnails;
• document structure;
• metadata; and
• other visual, textual, or service-generated representations of your work.

Not all of these capabilities are necessarily available at all times.

2.2 Usage, Publishing, and AI Feature Information

To operate, protect, evaluate, and improve the service, we may also collect:

• Types of works published (for example, book, essay, research paper, portfolio, or project)
• Declared or inferred intent of use (for example, personal publishing, academic sharing, or professional project)
• Sharing references and access patterns, such as referral source, link usage, and reading activity
• Timestamps, access logs, and interaction data related to published works or embedded readers
• Use of Aevum Assistant or other AI-assisted features, including the type of assistance requested, usage counts, response status, latency, and related technical information
• Usefulness ratings and optional written feedback provided about AI-assisted responses
• Limited semantic information describing the general purpose of an AI request, such as a request category and a short generalised summary of the user’s intent

For AI usage analytics, AEVUM is designed not to intentionally retain the full text of your AI questions, extracted document text, text submitted for rewriting, system prompts, or AI-generated responses as part of its normal usage analytics.

Where AEVUM creates a short semantic summary of a request for product analytics, that summary is intended to describe the purpose of the request rather than reproduce its exact wording or unnecessary personal, confidential, or identifying details.

This information is used for service operation, security, analytics, feature evaluation, improvement, reliability, and abuse prevention, and not for behavioural advertising or third-party advertising profiling.

2.3 Automatically Collected Information

We may automatically collect limited technical information, including:

• IP address
• Device and browser type
• Session identifiers
• Date and time of access
• Service and request logs
• Technical error and performance information

This data is used for security, abuse prevention, service reliability, troubleshooting, and operational diagnostics.

We use personal information only where reasonably necessary to:

• Provide, operate, maintain, and secure AEVUM
• Publish and display your works according to your visibility settings
• Generate previews, thumbnails, rendered pages, and viewer-compatible derivatives
• Deliver embedded reading experiences and document rendering through AEVUM or trusted service providers acting on our behalf
• Provide optional AI-assisted features, including document review, writing refinement, document-related question answering, content analysis, and, where supported, analysis of images, layouts, visual presentation, and other elements of uploaded works
• Process subscriptions and manage billing
• Communicate important service-related notices
• Provide customer support
• Monitor usage patterns to improve reliability, performance, trust safeguards, abuse prevention, and product functionality
• Understand how AI-assisted features are used, including common types of requests, usefulness ratings, and generalised request intent
• Detect, prevent, and respond to fraud, abuse, misuse, unlawful activity, or attempts to circumvent service restrictions
• Comply with legal and regulatory obligations

We do not use your personal information for behavioural advertising, resale, or unrelated third-party marketing.

You may optionally consent to receive occasional AEVUM news, product updates, and offers. You can withdraw that consent at any time. Account and service emails, including security, authentication, billing, and important operational notices, are not affected by this choice.

Where enabled, an email delivery provider may process your email address and delivery information on our behalf.

We do not sell personal information to advertisers or unrelated third parties.

3.1 Aevum Assistant and AI-Assisted Processing

Aevum Assistant (“AA”) is an optional feature intended to help users review, understand, analyse, or refine their work.

When you choose to use AA, relevant content may be transmitted to and processed by an AI service provider acting on AEVUM’s behalf for the purpose of generating the requested response.

Depending on the feature available, relevant content may include text, images, page layouts, visual elements, graphics, document structure, metadata, or derived representations reasonably necessary to perform the requested analysis.

AEVUM seeks to minimise unnecessary transmission and retention of content used for AI-assisted processing.

AEVUM does not use your content to train its own general-purpose AI model.

Third-party AI service providers may temporarily process or retain information in accordance with their security, abuse-prevention, contractual, operational, and legal requirements.

AI-assisted processing is optional. If you do not wish relevant portions of a work to be processed through an AI-assisted feature, you should not use that feature for that work.

We process personal information on the basis that it is:

• necessary to perform our contract with you, including account, publishing, display, reader-delivery, and optional service functionality;
• required to comply with legal obligations;
• necessary for legitimate interests such as security, abuse prevention, service improvement, reliable document rendering, analytics, and feature evaluation; or
• processed with your consent, where required.

Use of optional AI-assisted features is initiated by the user.

We do not sell your personal information.

We may disclose or make information available only in the following circumstances:

• Service providers who assist us in operating AEVUM, such as hosting, storage, email delivery, payment processing, document rendering, preview generation, AI-assisted processing, analytics, security, and embedded viewer delivery, under appropriate confidentiality, security, and contractual obligations
• Legal or regulatory requirements, including court orders or lawful government requests
• Business transitions, such as a merger, acquisition, reorganisation, financing, asset sale, or transfer of the service
• Protection of the rights, safety, security, or integrity of AEVUM, its users, service providers, or the public

Published works are accessible according to the visibility settings chosen by the publisher.

Draft and archived works are private and accessible only to the account owner, except to the extent that limited processing by service providers is reasonably necessary to operate storage, security, rendering, preview generation, AI-assisted functionality initiated by the user, or other service delivery.

We take reasonable technical and organisational measures to protect personal information, including:

• Account access controls
• Restricted administrative and service access
• Secure storage infrastructure
• Monitoring for unauthorised access
• Service-level safeguards and abuse prevention controls
• Contractual controls with relevant service providers

However, no system is completely secure.

You acknowledge that transmission, processing, and storage of information online carries inherent risk, and we cannot guarantee absolute security.

AEVUM uses essential cookies and similar technologies for purposes including:

• session authentication;
• security and load balancing;
• service reliability;
• browser-session functionality; and
• basic operational functionality.

Aevum Assistant may use browser-local storage together with a session identifier to maintain temporary conversation history across tabs or windows during the same browser session.

This local conversation history is used to provide session continuity and is not used for behavioural advertising or cross-site tracking.

Depending on browser behaviour, locally stored technical data may remain on the device after a session ends but may no longer be associated with or loaded by a later Aevum Assistant browser session.

We do not use third-party advertising cookies or behavioural tracking.

We do not track users across unrelated websites for advertising purposes.

We retain personal information only for as long as reasonably necessary to:

• provide the service;
• maintain security and service integrity;
• improve and evaluate the service;
• comply with legal obligations;
• resolve disputes; and
• enforce our agreements.

Where technically necessary, preview files, rendered assets, cached copies, logs, service-generated derivatives, and other technical records may persist for a limited period in backups, caches, or third-party processing systems before being deleted or overwritten in the normal course of operations.

AI-assisted interactions are designed to minimise retained content.

AEVUM may retain limited AI usage metadata, generalised request categories and intent summaries, usefulness ratings, optional feedback, technical performance information, and related operational records for service analysis, safety, improvement, and abuse prevention.

As part of its normal AI usage analytics, AEVUM is designed not to intentionally retain full AI questions, extracted document text, text submitted for refinement, or generated AI responses.

Temporary Aevum Assistant conversation history may be stored locally in your browser for the current browser session.

Information processed by third-party AI service providers may be retained temporarily according to their applicable security, abuse-prevention, contractual, operational, and legal requirements.

When you delete your account, your personal data is scheduled for permanent removal from active systems within a reasonable period, typically within 30 days, subject to legal, security, backup, fraud-prevention, or technical retention requirements.

Subject to applicable law, you may have the right to:

• access and correct your personal information;
• request deletion of your account and associated data;
• export your published works;
• object to or restrict certain processing activities;
• withdraw consent where processing depends on consent; and
• lodge a complaint regarding privacy handling.

AEVUM is intended for adults aged 18 and over only and is not directed to persons under 18.

If we become aware that an account was created in breach of this age restriction, we may suspend or remove the account and associated information as appropriate.

Your information may be stored or processed in countries outside Australia where our service providers operate.

This may include providers supporting hosting, storage, communications, document processing, security, analytics, payments, or AI-assisted functionality.

Where international transfers occur, we take reasonable steps to ensure appropriate safeguards are in place, consistent with Australian privacy requirements.

You are responsible for the content you upload, publish, submit, or process through AEVUM.

You should not upload or process highly sensitive personal information, regulated confidential records, identity documents, medical information, payroll information, legally privileged material, trade secrets, or third-party personal data unless you have the necessary rights, permissions, authority, and lawful basis to do so and to permit processing by AEVUM and its service providers.

This is particularly important when using Aevum Assistant or other AI-assisted features.

Where such a feature is used, relevant text, images, layouts, visual elements, metadata, or other portions of your work may be processed by an external AI service provider acting on AEVUM’s behalf.

You should only use AI-assisted features with information that you have the right and authority to submit for that purpose.

12.1 Aevum Assistant and AI-Generated Information

Aevum Assistant is designed to assist users with reviewing, understanding, analysing, and refining their work.

AI-generated responses may contain errors, omissions, inaccurate statements, incorrect interpretations, or inappropriate suggestions.

AI can make mistakes.

You are responsible for reviewing and verifying important information before relying on, publishing, submitting, presenting, or otherwise using an AI-generated response.

Aevum Assistant should not be treated as a substitute for appropriate professional, legal, financial, medical, academic, technical, regulatory, or other specialist advice.

You remain responsible for all decisions made and actions taken based on an AI-generated response.

We may update this Privacy Policy from time to time to reflect changes in law, technology, providers, service functionality, or our business practices.

Material changes will be communicated by posting an updated version on our website or, where appropriate, notifying you directly.

Continued use of AEVUM after changes take effect constitutes acceptance of the revised policy where permitted by applicable law.
