AEVUM is a publishing platform for finished works and long-form knowledge sharing. We collect only the information reasonably necessary to operate the service responsibly, securely, and reliably.

When you create an account or use the service, we may collect:

  • Content you upload or publish, including PDFs, rendered pages, preview images, cover images, thumbnails, titles, descriptions, and metadata
  • Viewer-ready or service-generated derivatives created to enable previews, embedded reading experiences, or document rendering
  • Billing and subscription details (processed by third-party providers such as Stripe; payment details are not stored by us)
  • Communications you send to us (support requests, emails, feedback)

2.2 Usage and Publishing Information

To operate and protect the service, we may also collect:

  • Types of works published (e.g. book, essay, research paper, project)
  • Declared or inferred intent of use (e.g. personal publishing, academic sharing, professional project)
  • Sharing references and access patterns (such as referral source, link usage, and reading activity)
  • Timestamps, access logs, and interaction data related to published works or embedded readers

This information is used only for service operation, security, analytics, and improvement, and not for advertising or profiling.

2.3 Automatically Collected Information

We may automatically collect limited technical information, including:

  • Device and browser type
  • Session identifiers
  • Date and time of access

This data is used for security, abuse prevention, service reliability, and operational diagnostics.

3. How We Use Your Information

We use personal information only where reasonably necessary to:

  • Provide, operate, maintain, and secure AEVUM
  • Publish and display your works according to your visibility settings
  • Generate previews, thumbnails, rendered pages, and viewer-compatible derivatives
  • Deliver embedded reading experiences and document rendering through AEVUM or trusted service providers acting on our behalf
  • Process subscriptions and manage billing
  • Communicate important service-related notices
  • Provide customer support
  • Monitor usage patterns to improve reliability, performance, trust safeguards, and abuse prevention
  • Detect, prevent, and respond to fraud, abuse, or unlawful activity

We do not use your data for behavioural advertising, resale, or third-party marketing.

4. Legal Basis for Processing (Australia + International)

We process personal information on the basis that it is:

  • necessary to perform our contract with you (account, publishing, display, and reader-delivery services);
  • required to comply with legal obligations;
  • necessary for legitimate interests such as security, abuse prevention, service improvement, and reliable document rendering; or
  • processed with your consent, where required.

5. Information Sharing and Disclosure

We do not sell your personal information.

We may disclose information only in the following circumstances:

  • Service providers who assist us in operating AEVUM, such as hosting, storage, email delivery, payment processing, document rendering, preview generation, analytics, security, and embedded viewer delivery, under appropriate confidentiality and contractual obligations
  • Legal or regulatory requirements, including court orders or lawful government requests
  • Business transitions, such as a merger, acquisition, or asset sale
  • Protection of rights, safety, or integrity of AEVUM, its users, or the public

Published works are accessible according to the visibility settings chosen by the publisher. Draft and archived works are private and accessible only to the account owner, except to the extent limited processing by service providers is reasonably necessary to operate storage, security, preview generation, or viewer delivery.

6. Data Storage and Security

We take reasonable technical and organisational measures to protect personal information, including:

  • Account access controls
  • Restricted access controls
  • Secure storage infrastructure
  • Monitoring for unauthorised access
  • Contractual controls with relevant service providers

However, no system is completely secure. You acknowledge that transmission and storage of information online carries inherent risk, and we cannot guarantee absolute security.

7. Cookies and Tracking

AEVUM uses essential cookies only, including:

  • security and load balancing
  • service reliability and basic operational functionality

We do not use third-party advertising cookies or behavioural tracking.

We do not track users across other websites.

8. Data Retention

  • provide the service;
  • comply with legal obligations;

  • enforce our agreements.

Where technically necessary, preview files, rendered assets, cached copies, logs, and service-generated derivatives may persist for a limited period in backups, caches, or third-party processing systems before being deleted or overwritten in the normal course of operations.

When you delete your account, your personal data is scheduled for permanent removal from active systems within a reasonable period (typically within 30 days), subject to legal or backup retention requirements.

9. Your Rights

Subject to applicable law, you have the right to:

  • access and correct your personal information;
  • request deletion of your account and associated data;
  • export your published works;
  • object to or restrict certain processing activities;
  • lodge a complaint regarding privacy handling.

10. Age Restriction

AEVUM is intended for adults aged 18 and over only and is not directed to persons under 18. If we become aware that an account was created in breach of this age restriction, we may suspend or remove the account and associated information as appropriate.

Your information may be stored or processed in countries outside Australia where our service providers operate. Where international transfers occur, we take reasonable steps to ensure appropriate safeguards are in place, consistent with Australian privacy requirements.

12. Content Responsibility and Sensitive Information

You are responsible for the content you upload or publish through AEVUM.

You should not upload highly sensitive personal information, regulated confidential records, or third-party personal data unless you have the necessary rights, permissions, and lawful basis to do so and to permit processing by AEVUM and its service providers for storage, rendering, preview generation, and viewer delivery.

We may update this Privacy Policy from time to time. Material changes will be communicated by posting an updated version on our website or, where appropriate, notifying you directly.

Continued use of AEVUM after changes take effect constitutes acceptance of the revised policy.
