Practical guidance for uploading, managing, publishing, and sharing your works.

1. Getting started

Aevum is for publishing finished works as reader-friendly flipbooks. Owners use Works to upload, prepare, publish, manage, and share their works. Published works are viewed through the Aevum reader experience.

2. Uploading a new work

  1. Go to Aevum Works (for long-form texts) or Aria Works (for creative works).
  2. Select New work from Drafts section.
  3. On Upload a new work page, complete: Title, Subtitle (optional), Author, Description, Type, and PDF File.
  4. Choose your PDF File. We recommend optimising the files before upload for a smooth reading experience. Heavy files will take a while to upload and may cause delays in reading. See some tips on Optimising PDF documents.
  5. Select Create draft.
  6. If progress appears, wait for upload and finalization to complete.
  7. Confirm the work opens as a draft in its work page.

3. Editing and managing your works

  1. Open Works, then select Edit on the work card (near the bottom of the card).
  2. Update supported fields in Edit details: Title, Type, Author, Status, Description, and Visibility.
  3. Select Save changes.
  4. Use Status to manage state: Draft = private working state, Published = reader-visible, Archived = kept but not public-facing.
  5. Use Archive to move a published work to archived.
  6. Use Delete, then confirm with Delete work when you want to remove a work permanently.

Uploading a new file creates a new work. It does not replace the PDF file of an existing work.

4. Publishing your work

  1. Open your draft work page.
  2. Review details and use Preview if needed.
  3. Select Publish when ready.
  4. If processing takes time, wait for preparation/conversion to finish.
  5. If unsuccessful, click Retry flipbook conversion.
  6. After publish completes, open View to confirm the reader experience.

Publishing can be disabled when plan or processing requirements are not met (for example file, page, storage, or allowance limits).

5. Visibility and access

  • Private: Only visible to yourself
  • Unlisted: Only visible via a link
  • Public: Visible to everyone

Draft and archived works are private until published. Visibility controls who can access the reader experience for a published work.

6. Uploads, processing, and flipbook display

  • Use PDF files only.
  • Larger or image-heavy files can take longer to upload, process, and open in the reader.
  • Uploads or publishing can be limited by plan allowances (file size, page count, storage, draft, published, archived, or hosted limits).
  • Flipbook preparation can take time. If available, use Retry flipbook conversion.

7. Optimising PDF documents

Large or image-heavy PDFs can take longer to upload, process, and open in the reader. Before uploading, optimise your PDF where possible.

Best practices:

  • Compress images before exporting. Resize very large images before placing them into the document. Avoid using full-resolution print images if the work is mainly viewed on screen.
  • Export for screen viewing. When exporting from design or publishing software, choose a web, screen, or reduced-size PDF preset where available. Avoid press-quality or print-ready settings unless they are necessary.
  • Reduce unnecessary image resolution. For screen reading, extremely high DPI images usually do not improve the reader experience. A balanced screen-resolution export is usually better than a very large print-resolution PDF.
  • Remove unused pages and hidden content. Delete blank pages, unused layouts, hidden layers, unused artboards, and unnecessary embedded files. Remove printer marks, bleed settings, or production metadata if they are not needed for online viewing.
  • Subset or simplify fonts. Embed only the fonts required for the document. Avoid unnecessary font variations or duplicate embedded font files.
  • Flatten complex artwork where suitable. Complex vectors, transparency, effects, and layered artwork can increase file size and processing load. Flatten only where it does not damage the appearance or readability of the document.
  • Check the PDF after optimisation. Open the optimised PDF before uploading. Confirm images are still clear, text is readable, links still work if needed, and page order is correct.
  • Keep an original copy. Save the original high-quality file separately. Upload the optimised version to Aevum for faster online viewing.

Use the smallest PDF that still preserves the intended reading quality. A lighter file usually uploads faster, processes faster, and gives readers a smoother experience.

8. Billing and plans

  • Manage billing from Account using Manage subscription.
  • Upgrades apply immediately.
  • Downgrades apply from the next billing cycle.
  • Cancellations apply from the next billing cycle.
  • Existing works remain available, but uploads/publishing/archiving/restoring can be limited if usage is above your plan allowances.

9. For readers and visitors

  • Shared Aevum links open specific flipbooks in the reader experience.
  • Some large flipbooks may take longer to load.
  • Visitors can browse Selections, which includes the Aevum Library and Aria Gallery hosting the amazing works of our members.
